There are three different types of chats within Trillian:
Private Chats: A conversation between you and one other person. Only the participants of a private chat - and possibly your company's Trillian administrators - can access the history of a private chat.

Op: The first member of a group chat is also the first operator of a group chat. Operators can be thought of as per-chat administrators - they can change settings and assign operator status to other members at any time.
Voice: Giving a user voice means that the user can speak in rooms with the "only approved users may talk" setting enabled.

Global settings impact all users of your company, even if they're bound to another policy.
Allow federation with Trillian users: If enabled, your users can communicate with the consumer Trillian cloud by adding Trillian users to the contact list as "username@trillian.im".
Enable group chat cloud history: If enabled, group chat history is saved to the cloud.

Enable cloud history: If enabled, chat history is stored on the server.
Enable chat history disclaimer: If enabled, Trillian clients will automatically send the disclaimer text to remote parties before the first message of each session.
Enable file transfers: If enabled, clients can send and receive files.
Enable group chat creation: If enabled, your users can start group chats on the Trillian network on their own.
Enable group chat joining: If enabled, your users are allowed to browse through any open public group chats and join them.
Enable image transfers: If enabled, clients can send and receive images.
Enable mail notification: If enabled, mail checking is enabled both through third-party IM plugins and a generic IMAP/POP3 interface.
Enable software auto-update: If enabled, your users will receive software updates automatically. Disabled by default in case your users don't have permission to install software on their machines.
Enable voice calls: If enabled, clients can send and receive voice calls. Only available on Windows at the moment.
Show settings for plugins: If enabled, the plugin preferences page is visible to users. Only applicable on Windows.
Show settings for skins: If enabled, the skins preferences page is visible to users. Only applicable on Windows.
Show settings for status changing: If enabled, the status preferences page is visible to users. Applicable on Windows and Mac.

When you associate a group chat with a policy, any user currently bound by that policy will also be added to the group chat. New users will also be automatically added to associated group chats when they are first created. Remember that you can create as many policies as you'd like to help mirror your company's organizational structure.
Examples: use associated group chats to add all new marketing staff to a marketing-centric group chat, or to ensure all new employees automatically join your company's "all hands" group chat. You can add as many associated group chats to a policy as you need.

Group Chats
Group chats are many-to-many conversations that persist on the server. Use them to bring teams together into a single place that encourages collaborative and focused communication. For example, you might create a group chat for your sales staff to discuss monthly sales goals or for your support team to communicate during difficult support calls.
Policies
Policies let you control various features of the Trillian client and server. Manage cloud history settings, enable or disable third-party IM, enable or disable file transfers, etc. The default policy for your company has a few additional settings that impact all users of your domain, but you can create other policies and assign them to users individually.
Private group chats are the 'ad-hoc' chats created by your users themselves or chats that have the 'Do not show group chat in list' setting enabled. You can prevent your users from creating group chats in Policies -> Client Settings.

There are two different types of deactivated users within Trillian:
Disabled Users: These users cannot sign into Trillian, will not count towards your license count and will not be seen on other people's contact lists. All of their data remains and they can be re-enabled at any time.
Deleted Users: A deleted user will have all data (media, history, contacts) removed and can be re-used for a different user which may have the same name. This action cannot be undone.
